Accounts Payable Specialist

We are looking for an organized, detail-oriented Accounting Specialist who will perform routine accounting duties, analyze information, maintain complete and accurate records, and provide prompt, courteous responses to inquiries or complaints from vendors. You should be a skilled researcher, a pro-active critical thinker and astute problem solver. To succeed as a Accounting Specialist, you must possess strong communication and computer skills and be committed to providing efficient, reliable support to accounting department members, other departments, and external parties. You should be trustworthy, thorough, and courteous with excellent time management skills.
Here is what you will do as part of the team:
  • Process vendor bills in a timely and accurate manner.
    • These include: following the company's approval hierarchy, perform complete and proper matching of vendor bill against issued purchase order, accurate data entry of vendor bills including, but not limited to, bill date, bill due date, payment discount offered by vendor, total bill amount.
  • Prepare list of bills for payment approval in accordance to company's payment schedule to ensure timely payments of bills
  • Perform timely reconciliation of vendor statement of account by identifying discrepancies and performing research on issues that result in differences with vendor records
  • By utilizing company's CRM and task management software, communicate with vendors and company personnel any issues and resolutions on any billing inquiries
And here are the skills and experience you will need to be successful:
  • Associates Degree in Business or Finance
  • 2+ years of extensive experience in accounts payable process in retail, warehousing or manufacturing
  • Hands-on experience with Quickbooks or Netsuite
  • Working knowledge of CRM or task management tool or software
  • Exemplary communication, organizational and interpersonal skills
  • Basic Excel skills
  • Ability to work in tandem with other team members in instituting best practices, creating efficiency, and constantly improving processes

  • This is a full-time on-site position at our San Francisco office
